Enterprise Knowledge

Documents, policies, procedures, manuals, contracts, knowledge articles, presentations, spreadsheets, websites, wikis, FAQs, and other information uploaded or synchronized into SynIntel for enterprise search and AI-assisted retrieval.

AI Processing

The automated processing of prompts, enterprise knowledge, connected data sources, and contextual information by one or more Artificial Intelligence models to generate responses, summaries, dashboards, insights, recommendations, or other requested outputs.

AI Models

Large Language Models (LLMs), Machine Learning models, embedding models, reranking models, reasoning models, and other AI technologies configured within SynIntel.

Supported models may include cloud-hosted, private, or customer-managed models.

Tenant

A logically isolated customer environment within SynIntel that contains its own users, configurations, permissions, AI settings, knowledge repositories, dashboards, insights, and business data.

Platform Administrator

Authorized SynIntel personnel responsible for platform operations, maintenance, support, monitoring, and administration.

Platform administrators do not access customer information unless authorized by the customer or required to deliver contracted services.

Tenant Administrator

A customer-designated administrator responsible for configuring users, permissions, authentication, AI settings, integrations, and other tenant-specific configurations.

End User

Any authorized individual accessing SynIntel on behalf of a customer organization.

Knowledge Repository

Any repository connected to SynIntel that contains enterprise information, including SharePoint, Confluence, Notion, Google Drive, file systems, websites, APIs, databases, and document management systems.

Processing

Any operation performed on information including collection, recording, organization, storage, indexing, retrieval, querying, analysis, generation, sharing, deletion, or destruction.

Services

All products, features, applications, APIs, AI services, integrations, support services, and related offerings provided under the SynIntel platform.

3. Data We Collect

SynIntel collects only the information necessary to provide, secure, improve, and support the Services requested by our customers. The type and amount of information collected depends on how the Services are configured, deployed, and used.

We classify collected information into the following categories.

3.1 Account & Registration Information

When users create or access a SynIntel account, we may collect information required to establish and manage user identities. This may include:

5.3 No AI Model Training

SynIntel does not use Customer Data, prompts, enterprise knowledge, dashboards, reports, or AI conversations to train public or shared AI models without explicit customer authorization. Where third-party AI providers are used, processing is governed by the selected provider's enterprise offerings and customer configuration.

AI-generated outputs are intended to assist users in making informed decisions. Customers remain responsible for reviewing and validating AI-generated content before relying on it for legal, financial, medical, regulatory, or other high-impact decisions.

AI Model Providers & LLM Usage

SynIntel is designed to support multiple Artificial Intelligence (AI) providers and deployment models, enabling customers to choose AI technologies that best meet their business, security, regulatory, and operational requirements. Unlike platforms that rely on a single AI provider, SynIntel provides a flexible AI architecture that allows organizations to configure, manage, and govern AI models according to their enterprise policies.

8.1 Supported AI Models

Depending on the customer's subscription, deployment model, and configuration, SynIntel may support integration with one or more AI providers, including:

The customer has entered into a separate written agreement authorizing such use.

Certain AI providers may process information in different geographic regions or under different contractual terms. Customers should review the documentation and contractual commitments associated with the AI providers they choose to enable.

7.6 AI Limitations

Artificial Intelligence technologies may generate responses that are incomplete, inaccurate, outdated, or otherwise unsuitable for a particular purpose.

Accordingly:

AI-generated content should be reviewed before use.

AI responses should not be considered legal, financial, medical, tax, or regulatory advice.

Customers remain responsible for validating AI-generated outputs before making business decisions or taking operational actions.

8. AI Model Availability

The availability of AI providers and models may change over time due to technological advancements, vendor updates, licensing changes, service availability, or customer subscription plans.

SynIntel may introduce, update, or retire AI integrations as part of normal product evolution.

9. Knowledge Repository Processing

One of SynIntel's core capabilities is enabling organizations to securely access enterprise knowledge through Artificial Intelligence.

Customers may connect or upload enterprise knowledge repositories so that authorized users can discover information, generate insights, and receive context-aware responses.

9.1 Supported Knowledge Sources

Depending on the deployment and configuration, SynIntel may integrate with various enterprise knowledge sources, including:

Responsible AI is a foundational principle of SynIntel.

SynIntel provides configurable governance capabilities that help organizations operate AI safely, transparently, and in accordance with enterprise policies.

Governance capabilities may vary depending on deployment model, subscription, and customer configuration.

11.1 Prompt Validation

SynIntel may validate user prompts before processing to detect malformed requests, policy violations, or potentially unsafe instructions.

11.2 Prompt Injection Protection

The platform may implement mechanisms designed to detect attempts to manipulate AI instructions, bypass system controls, or access unauthorized information.

Where AI generates SQL or MQL queries, SynIntel may validate generated queries against configurable security and governance rules before execution.

Depending on the deployment model, customers may also choose dedicated infrastructure, private cloud, virtual private cloud (VPC), or customer-managed deployments to meet specific security or regulatory requirements.

13.1 Tenant Isolation

SynIntel is designed to maintain logical separation between tenants through configurable security controls.
